Owners of smaller firms often use manual devices to track employee qualifications and skills. Thus a qualification (or skill) inventory contains data on employee's performance records, educational background, and promotability. For smaller firms, the personnel inventory and development records compile qualification information on each employee. Another option used by smaller firms is personnel replacement charts. This option is used particularly for the firm's top positions. Using this method helps the firm look into details such as present performance and promotability for each position's potential replacement.

On the other hand for larger firms who have hundreds or thousands of employees obviously tracking details like qualifications and skills manually is near to impossible. Hence the option they use is to computerize this information using various packaged software systems like the Applicant tracking system or Human resource management system. Apart from this the larger firms also link skills inventories with their human resources systems. So when an employee's skills inventory is automatically updated each time he is trained or appraised.
