In such scenario I would like to give a presentation to the VP operation where I will inform him pro and cons of the current situation and how we can avoid this by using and implementing the suggested thing.

Now I will show him the advantages of the using new implementation and how it is going to benefit the orgaznaitonal as a whole

I will also convince him as how it will be a cheaper option in the longer run if implemented right now as it can save us from many disaster later in the company.
