A project scope statement is a useful tool to outline the project’s deliverables and identify the constraints, assumptions and key success factors. The well-written scope statement clearly defines the boundaries of a project.

Before the project begins, the project team and the project stakeholders need to agree to the scope statement before project execution. The project’s scope has a direct impact on the other two elements of the project’s triple constraint – time and resources. If the project team can’t agree to the scope, the other two elements will keep changing despite the project manager’s best intention to execute the project.

The project manager often resorts to the project scope statement as the formal documentation for accepted project scope. Some project scope statements run the risk of exceeding an academic dissertation when only a page was needed to convey project scope. Agile project managers recognise scope will adjust across the project lifecycle so compiling a tedious scope volume isn’t the best use of the team’s time.

A better solution is to document the scope statement using a mind map. The mind map can still contain the key elements of a project scope statement including:

  • Project scope description – a brief description or project summary
  • Project deliverables – a specific list of results produced by the project
  • User acceptance criteria – a list of critical success factors to accept the project deliverables
  • Project boundaries – identifies what deliverables are in an outside of the project’s scope
  • Project constraints – a list of project limitations typically categorised by results, time frames, resources, physical or technical constraints
  • Project assumptions – a list of thoughts that are believed to be true yet need to be confirmed

A good Scope Statement includes the following information:

  • Justification: A brief statement regarding the business need your project addresses. (A more detailed discussion of the justification for the project appears in the project charter.)
  • Product scope description: The characteristics of the products, services, and/or results your project will produce.
  • Acceptance criteria: The conditions that must be met before project deliverables are accepted.
  • Deliverables: The products, services, and/or results your project will produce (also referred to as objectives).
  • Project Exclusions: Statements about what the project will not accomplish or produce.
  • Constraints: Restrictions that limit what you can achieve, how and when you can achieve it, and how much achieving it can cost.
  • Assumptions: Statements about how you will address uncertain information as you conceive, plan, and perform your project

The name of the project be very clear and concise. An effective project name reads something like 'Create a Marketing Plan For Increasing Sales of Widget X in Chicago'. This is much better than 'Marketing Plan Project', which is definitely concise but by no means clear. The aim of the project name is to document the project so that everyone involved is aware of what is expected during the life of the project. A good project name also helps provide a vision of where the project is headed.

Project Cost Management

Project Cost Management is the process of planning and controlling the project cost effectively. It defines what costs are required for each deliverable. The cost of the project can be estimated from various process sources like

Project Cost Estimation

The Project Cost Estimation is the process of approximating the total expenditure of the project.

The risk register will help to estimate types of costs, the expenses made behind the contingent action and the expenses made to cope with risks.

Past data or record is used to estimate cost for the current project.

  • Bottom-up estimating

Likewise, there are other techniques which could be useful for estimating cost like PERT estimating, vendor bid analysis, etc.

Project Budget Planning

The main purpose of this activity is to allocate and authorize the monetary resources required to complete the project. The main output for determining the budget includes cost performance baseline. It not only specifies what cost will be incurred but also when costs will be incurred. The inputs for determining budget includes
