Explain the three goals of communication and briefly describe each of the basic components of the communication process.

Communication is the exchange of ideas, information and opinions between two or more people. In the business world, communication is vital for the effective operation of an organization. It is important to remember that communication is a dialogue, not a monologue. The goal of effective communication is to send a message with the intention of informing, inspiring or questioning, with the message fully understood by the recipient. Communication has oral or nonverbal media. Communication is used to make processes and organizational flow more productive. When people know what is expected of them and how to accomplish the task at hand, they are more likely to be more productive.

Goals of Communication: - A team cannot cohesively work together and complete a goal without effective communication. A team that communicates effectively has a greater chance of being successful than one that does not. Below are 3 the goals of the Communication.

  1. Reputation - Identity or perception of the organization, Effective business communication fosters a sense of trust between the communicator and the recipient.
  2. Relationship - How the organization interacts with their public(s), External communication should create a positive relationship between the organization and its customers, while internal communication should inform, reassure and direct members of the organization
  3. Task - Action items / getting things done, Effective communication ensures all tasks are assigned, deadlines are agreed to and kept and conflicts are brought to light and dealt with accordingly.

Communication process as such must be considered a continuous and dynamic inter-action, both affecting and being affected by many variables.

Communication process consists of following elements

(1) Sender: The person who intends to convey the message with the intention of passing information and ideas to others is known as sender or communicator.

(2) Ideas: This is the subject matter of the communication. This may be an opinion, attitude, feelings, views, orders, or suggestions.

(3) Encoding: Since the subject matter of communication is theoretical and intangible, its further passing requires use of certain symbols such as words, actions or pictures etc. Conversion of subject matter into these symbols is the process of encoding.

(4) Channel of Communication: The person who is interested in communicating should choose the channel for sending the required information, ideas etc. This information is transmitted to the receiver through certain channels which may be either formal or informal.

(5) Receiver: Receiver is the person who receives the message or for whom the message is meant for. It is the receiver who tries to understand the message in the best possible manner in achieving the desired objectives.

(6) Decoding: The person who receives the message or symbol from the communicator tries to convert the same in such a way so that he may extract its meaning to his complete understanding.

(7) Feedback: Feedback is the process of ensuring that the receiver has received the message and understood in the same sense as sender meant it.
