You were recently invited by the Department of Computer Science of Karachi University to give a lecture at a presentation on Principles of Business Writing. Unfortunately, you will be away that week, studying intercultural communication in the IBA Sukkur. You are grateful that they asked though and are disappointed to be unable to attend. Politely refuse the invitation to speak, giving the reason why. Perhaps you would be able to speak at another time

Thank you for offering me the opportunity to give a lecture on ‘Principles of Business Writing’ at Karachi University. I regret to inform you that, I’m not able to make my presence as I will be away for a week for the purpose of studying intercultural communication in the IBA Sukkur.

Your invitation encourages me a lot and gives me motivation to speak more. I’m very grateful for being invited for such a wonderful event, but at the same time I’m very disappointed for not being able to make my presence. But I will surely try making my presence next time.
