12. SYSTEM FLOWCHART-PAYROLL: Prepare a system flowchart of the process.

Assume the following: Hard-copy timesheets are submitted by employees to department management. Managers submit the time sheet data digitally from their department terminals to the automated payroll application located in the data center. The automated system posts the transactions to the digital payroll file. The system also prepares and distributes hard- copy checks and cost center reports to employees and management respectively. Managers review the reports and file them in their departments.

Data flow diagram: The graphical representation of flow of data is known as data flow diagram. Graphical understanding of any concept is more easy as compared to textual data. Data flow diagrams focus more on the flow of data than the objects of the system.

Data flow diagram for expenditure cycle is as shown below:

• A two part requisition is prepared by the control clerk.
• Control department keeps the second copy while the first copy is sent to the purchasing department.
• A three fold purchase order is prepared by the purchasing department.
• Copy 1 is sent to supplier while copy 2 and 3 are sent to accounts payable department and receiving department respectively.
• A three fold copy is prepared by the receiving department where copy 1, 2 and 3 are sent to store, inventory control department and accounts payable department.
